Trello’s checklist indicator helps a team see which items have been checked. It cannot independently establish that the underlying work meets a client’s requirements or that another person has accepted delivery. For a practical workflow, define what checking an item means and when a subtask needs evidence beyond the checkbox.
State the meaning of completion
Atlassian’s support page describes checklist items that can be marked complete and a progress display that turns green when all items are checked. That is an account of interface state. It does not say that the software verifies every deliverable or determines whether the listed work was sufficient.
A checklist for preparing a demonstration might include collecting materials, preparing an explanation and reviewing the final output. The team should define whether a tick means the action was attempted, finished or reviewed. Those meanings should not be merged accidentally because the indicator has a reassuring colour.
Make a subtask’s evidence findable
Some checklist items are simple reminders. Others need their own description, attachments or discussion. The help page describes converting an item to a card when those additional features are needed. The new card takes the item’s name as its title, while the item is removed from the original checklist.
That changes where people should look for the task. A handover should explain the new location rather than assume that disappearance from the original list means cancellation. No conversion was performed for this article; this is an interpretation of the documented behaviour.
Separate responsibility from the visible tick
The documentation identifies assigning a person and a due date to a checklist item as an advanced-checklist function in a Premium Workspace. A basic checklist should not be described as if every workspace automatically has those attributes. This article does not recommend purchasing a plan or changing any account.
Whatever features are available, the task still needs a clear owner and a defined outcome through the team’s actual process. The interface can represent those arrangements within its supported scope, but the existence of a label or date does not prove that responsibility has been understood or exercised.
Review generated task lists
The same support page describes AI-generated checklist suggestions and tells users to review the created items. That review matters because a plausible list may omit a task specific to the project. A generated sequence is a starting proposal, not evidence that the project’s requirements have been comprehensively captured.
Compare the list against the real brief and remove irrelevant work. If an important step cannot be evaluated with a simple tick, give it a more explicit evidence requirement. No generated checklist was evaluated here, and no accuracy claim is supplied.
Use progress to start a conversation
A green checklist can help a reviewer find work that is ready to discuss. The reviewer can then inspect the deliverable, its stated scope and any remaining uncertainty. That is more informative than treating the progress indicator as a substitute for acceptance.
The practical choice is between a lightweight reminder and a task that needs its own accountable record. Trello documents both checklist items and conversion to cards. Selecting the appropriate level of detail keeps the board understandable while making clear that completion state, evidence of work and agreement to accept it are separate parts of a reliable handover.
Three fields beside a completion tick
| Field | Record or question |
|---|---|
| Meaning | Define whether the tick means an action was performed, an output exists or a reviewer accepted it. |
| Evidence location | If a task needs description, attachments or discussion, consider a card; Atlassian documents conversion moving the item from its checklist. |
| Review | Check the real brief against any generated task list. An all-green checklist only describes the checked-item state. |
