A Notion rollup can give a project team a useful total, but its meaning depends on the pages connected through a relation. An accurate calculation over an incomplete set of linked records can still answer the wrong business question. Before interpreting a dashboard, define what should be included and how omissions would become visible.
Identify the population first
Notion’s help documentation describes a relation as linking pages between databases. A rollup then chooses that relation, a property on the related pages and a calculation. This is an explicit data path. The feature does not independently decide which pages belong to the project or whether someone linked every relevant record.
Consider a hypothetical production database with one page per deliverable. A project page may relate to several deliverables, but a new deliverable that was never linked does not become part of that project’s rollup merely because its title mentions the project. This is a structural example, not a finding from a real workspace.
Empty values and absent links differ
The documented calculations include counting empty values and showing their percentage. An empty property on a linked page is different from an entire page missing from the relation. That distinction matters when assessing completeness: a property check can reveal a blank field within the selected population without identifying every omitted record outside it.
A useful project definition therefore names both the required records and the required properties. The team can review those separately rather than treat a reassuring percentage as proof that the whole workflow is documented. No completeness rate or project outcome has been measured here.
Choose a calculation that matches a question
A count of pages, a count of non-empty values and a sum of numeric values answer different questions. A dashboard should make clear which question each field addresses. Avoid giving a calculation a broad title such as “project health” when it actually measures a narrower property.
For a planning meeting, a label might explain the included record type and the relevant property. A separate note can identify exclusions or unresolved records. That makes the number easier to challenge constructively and reduces the risk of comparing totals drawn from different populations.
Keep an export’s meaning intact
Notion says a relational database exported as CSV represents relations as plain-text URLs and cannot currently restore those relationships by simply reimporting that CSV. A readable spreadsheet is therefore not automatically a functioning copy of the relational model. The links’ appearance and the live relationship are different evidence categories.
Anyone preparing a handover should explain what the recipient receives: a table for inspection, a connected workspace or another specifically verified arrangement. Do not promise restoration from a file format without checking the actual behaviour and current documentation.
Use the dashboard as a traceable view
The practical value of a rollup is that a reader can trace its result to named related records and a stated calculation. Keep that trail alongside the headline number. Where the linked population is uncertain, describe the result as applying to the selected records rather than every item in the project. This supports clearer operational discussion without presenting a convenient interface calculation as independent evidence of business performance.
Two different kinds of missing record
| Field | Record or question |
|---|---|
| Linked but blank | A related page exists but the chosen property is empty; Count empty or Percent empty concerns this linked population. |
| Not linked | An intended page is absent from the relation, so inspecting blank values within the linked set cannot establish its inclusion. |
| Hypothetical example | If a project expects 40 deliverables but links 36, all 36 may have filled fields while four intended records remain absent. These are illustrative counts, not workspace findings. |
Sources and scope
- Official primary source — Notion Help, Relations & rollups, relation/calculation/empty-value and CSV FAQ sections read 24 October 2026. No real workspace or business performance inspected.
Help documentation, not an inspected customer database. No Notion workspace, numerical business result or export round-trip was tested. Interface and workspace permissions need current verification.
